Correcting an approved month
An approved payroll run stays exactly as it was filed. A correction records the corrected final values for that month and settles only the difference in a later payroll run.
Draft or approved
As long as a run is still draft you simply open it and choose Edit; nothing was filed yet, so there is nothing to correct. Only once a run is approved does the correction flow apply.
Creating a correction
- Open the approved payroll run and choose Correct.
- Choose the draft payroll run the difference should be settled in.
- Enter the corrected final values for the month you are correcting. The values that currently apply are prefilled, so you only change what was wrong.
- Describe the reason. It is stored with the correction and shown on the payslip of the settlement month.
- Press Create correction, then check the difference on the settlement run before you approve it.
What the difference does
- Net payment
- The difference in net salary and tax-free reimbursements is added to the net salary payment of the settlement run, so the DGA receives or repays it with that month.
- Payroll tax return
- The difference in wage tax and Zvw is added to the amount payable for the settlement period and appears as a separate line in the tax return overview, with its own rounding line if needed.
- Journal entry
- The settlement run gets extra correction lines, so your bookkeeping follows the actual payment instead of the original month.
- Payslip
- The payslip of the settlement month shows the correction with the previous value, the corrected value and the difference.
- The corrected month
- The original run keeps its filed figures. A Current values block shows what applies to that month after all processed corrections — those are the values for the payroll statement and the annual statement.
Draft and processed
A new correction is a draft. It becomes processed when you approve the payroll run it is settled in. While that settlement run is still draft you can edit or delete the correction from the run page. One payroll run can settle corrections for several earlier months.
The rules
- • The settlement run must be a later month than the month you correct, and it must still be a draft.
- • The correction has to stay within the same calendar year. A month in an earlier year is corrected directly in your payroll tax return.
- • A corrected month can have only one draft correction at a time. Process it first, then correct again if needed.
- • At least one value has to change, and the net payment including the correction must stay above zero.
Payrollr.nl does not calculate the corrected wage tax either — you enter it yourself. Check with your accountant whether your situation allows the difference to be settled in a later period, or requires a correction on the return of the original period.
