The questions we get most often, with the short answer.

Does Payrollr.nl file my payroll tax return?

No. You always file yourself at Mijn Belastingdienst Zakelijk. Payrollr.nl prepares the numbers, the payslip, the journal entry and the SEPA files, and does not connect to Digipoort or the Belastingdienst.

Where does the wage tax amount come from?

From you. Payrollr.nl deliberately does not calculate Dutch wage tax and does not ship tax tables. Take the amount from the Belastingdienst tables, from a payroll calculation or from your accountant. When you select a DGA, the deductions from their previous run are prefilled as a starting point.

Where do I find the 16-digit payment reference?

You receive the betalingskenmerk from the Belastingdienst when you file the return for that period. It is different for every period — reusing an older one books your payment against the wrong period.

Why can I not prepare the payroll tax payment right away?

Because the payment needs the reference from the return you have not filed yet. This is the one guardrail that prevents paying the Belastingdienst without a matching reference.

I entered a payroll run incorrectly. Can I edit it?

Yes, while the run is still a draft. Open the run and choose Edit. After approval, or once a payment is marked exported, uploaded, or paid, the run can no longer be edited — from then on you correct it instead.

Can I still change a month I already approved and filed?

Not by editing it. You create a correction on the approved run, enter the corrected final values, and Payrollr.nl settles only the difference in a later draft payroll run of the same calendar year — in the net payment, the journal entry and the payroll tax you pay for that later month.

Does Payrollr.nl check the wage tax I enter?

It compares it. The wage tax check on the payroll run holds your wage tax, labour tax credit and Zvw against the official white monthly table and shows the difference. It is advisory: it never blocks the run, never overwrites your amounts, and it says so when your situation falls outside the table.

How do I enter the private use of a company car?

Fill in the monthly bijtelling in the Benefit in kind field. It is added to the taxable salary — so the wage tax you enter must cover salary plus bijtelling — but it is not paid out, so the net salary stays the same. In the journal entry it is booked as wage cost against the offset account from your settings.

What do I use tax-free reimbursements for?

For amounts that are paid out but not taxed, such as a qualifying homeworking or travel allowance. They are added to the payment and to the journal entry, but not to the taxable salary. You are responsible for checking that the exemption applies.

Do I have to type the payment reference every month?

No. Under Payment references you paste the twelve references for the year in one go, and each payroll run then picks up the one for its own month.

Can the journal entry go into my bookkeeping automatically?

Yes, for e-Boekhouden. Add your API token in Settings and send the journal entry of an approved run directly. The mutation number that comes back is stored, so the same run cannot be exported twice by accident.

Why is the amount payable a few cents lower than the payslip?

The payroll tax return is filed in whole euros: wage tax and Zvw are each truncated before they are added. The cents that fall off are shown as the rounding difference and booked on the rounding differences account.

My bank rejects the SEPA file. What now?

Check the IBAN and BIC of your BV, check that the DGA has a private IBAN, and check that the execution date is a business day that is not in the past. Downloading again produces a fresh file.

Is the Zvw contribution deducted from the net salary?

Yes. For a DGA the Zvw is a withheld employee contribution, so it comes off the net salary and is paid to the Belastingdienst together with the wage tax.

How do I enter holiday allowance or a bonus?

Add it to the gross salary of the period it is paid in. There is no separate line for it, and the wage tax you enter should of course cover that higher gross amount.

Can I use Payrollr.nl for regular employees?

It is built for a BV with a DGA on the payroll. There is no support for employee insurance schemes, collective labour agreements or anything else a regular employee needs.

Does Payrollr.nl check the customary DGA salary (gebruikelijk loon)?

No. Whether your salary meets the customary salary rules is something you check with your accountant or tax advisor.

Is my BSN safe?

The BSN is stored encrypted and is never shown in full again — only the last four digits appear on screen.

Does the free trial convert into a paid subscription automatically?

No. After the trial you are asked to add a payment method. If you do not, your account is paused instead of charged.
